  • An AI knowledge base is an internal memory for your team, built from your own documents: quotes, contracts, procedures, notes and correspondence. ChatGPT answers from the general knowledge of the model, so it knows nothing about your company. A chatbot on your website serves people from the outside - a company memory works from the inside: it answers your team from your own material and names the document the answer came from. That is the difference between an assistant that guesses and one that remembers what you agreed with a client in March.

  • From material you already have and point us to. We connect the sources you choose: company drives and folders, shared inboxes such as office@ or sales@, documents and spreadsheets, meeting notes, and the systems where you keep quotes and orders. Private correspondence stays private. Nothing has to be retyped by hand. We start with one area, quotes or customer service for example, and add the next ones only once the first one pays off. That is also why answers come from your documents rather than the model's guesses - we explain where hallucinations come from and how grounding limits them in why AI hallucinates.

  • Yes. The knowledge base sits in an environment you control, and that is where your documents stay. To put an answer together, the model receives only the fragment it needs for that one question - under terms that rule out training on it or storing it on the provider's side. Access mirrors the permissions you have today: someone who cannot see the payroll folder will not get an answer out of it. Every rollout starts with a data processing agreement (GDPR) and a written list of sources, so from day one it is clear what is connected and why.

  • About three weeks to the first answers. Week one is the call and source inventory, week two we collect and clean up the documents, week three we launch inside the tools your team already uses. After launch new documents come in automatically, and we check the quality of answers and close the gaps that only show up in daily work.

  • It handles documents in English and in Polish, including contracts, quotes and correspondence written in everyday language, and it answers in whichever of the two you ask in. Scans and PDFs without a text layer can be connected too, they just need one extra step during collection.

  • The memory follows the source. When a price list or a procedure changes, the old version does not disappear - it gets an end date, and from that moment AI quotes only the current one. That also lets you check what was in force on the day a specific contract was signed. During the rollout we agree which place is the source of truth for each topic, because without that a company gets two contradictory answers and stops trusting both.

  • It depends on how many sources and areas the memory has to cover - a company with one drive and a sales inbox is a different scale than a company with a CRM, a warehouse and ten years of documents. That is why we do not quote a single number up front. We start with a free call and an inventory of sources, after which you get a concrete quote for the first area - and you decide on the next ones only once you have seen what the first one does.
